CET Booster Club Board Meeting
Minutes, September 19, 2024, Approved
Present: Trudy Gates, Cara Genesio, Sascha Matish, Margie Morris, Alisse Portnoy, Viva Rosenfeld, Krista Takacs, Adam Weakly, Emily Wilson-Tobin.
The meeting was called to order by Sascha Matish at 6:39 pm.
Consideration and approval of minutes of the August 27 meeting will happen over email this week.
CET Booster Club Bylaw changes officially are approved.
Overview of Booster Club Meeting that just occurred: any feedback?
Google form sign up for volunteers didn’t elicit a response last year; the process has been changed for this year and everyone should hear something, even if it’s that their volunteering isn’t necessary.
Timing was great, and the summary of the show was helpful.
Google Workspace Drive and Subfolders
The board discussed the transition to the new workspace, including folder organization, listserv migration, email inboxes/generic board email addresses, and the like.
The board agreed that Margie should explore the cost of each board member to have their own account in the workspace.
Margie will check on challenges with the completion of forms that students are reporting.
CET listserv: transfer to Google Workspace from MCommunity. Someone suggested that hotmail may not play nice with the Google listserv. The goal for listserv migration for the Midsummer show is the end of October. If that works, we’ll start working on the big 2009+ list.
Programs: The board revisited the discussion about performance programs, including environmental and financial costs, benefits to students and families including having souvenirs and not requiring people to pull out phones during the shows to check for more information online. After a thoughtful discussion, the board decided to keep programs as is; to consider increasing ad prices to match the expense of printing the programs; and to affirm Emily reminding audiences to take one if they liked but please do not take a program home if they don’t plan to keep it.
Volunteer Update
Current volunteer list
Volunteers needed: co-chair for tech week food (Kristin McGuire agreed to work with Jenn Nelson); costumes, an adult to work with Patricia (Viva volunteered).
Donations: Talk with Patricia and Claire about possible donations as people clean out their closets.
Treasurer’s Report
It’s the slow period, and there is $29,000 in the account – which is a healthy amount at the start of the year.
Cara has to file with LARA by October 1, which means a small expense to stay up-to-date with the state of Michigan.
A small 990 form is due at the end of October to the IRS.
Because the budget is so small, under $50,000, we don’t need an accountant.
EMU’s touring production of Midsummer
EMU is doing Midsummer this year as well. They’re doing an abridged touring version, about an hour long. There’s talk-back after the performance.
EMU has space needs that may create issues for capacity in Craft, especially since some teachers are interested in bringing their classes. Emily will explore options including St. Andrews.
The cost is $400. The Booster Club Board approved the expense.
Matters Arising
Watch for ticket exchanges, so that tickets are sold at face value (e.g., student tickets are “resold” at face value, rather than at general admission price).
Let’s aim to refer to the board as the CET Booster Club Board rather than the parent board.
Krista asked about fundraising cards at places including Kroger and Arbor Farms. The board enthusiastically agreed that was an idea worth exploring.
